Anti-Spam Policy

1. Introduction

3DxCell AB (“3DxCell”, “we”, “us”, or “our”) is a Contract Research Organisation (CRO) headquartered in Lund, Sweden. We operate the websites 3dxcell.com, 3dxcell.se and 3dxcell.eu (together, the “Sites”).

We are committed to responsible, lawful and respectful communication. We strictly prohibit the use of unsolicited email (“spam”) to promote 3DxCell, our services or our Sites, whether by us or by anyone acting on our behalf.

This Anti-Spam Policy explains what we mean by spam, how and when we send email, what we require of the third parties we work with, how you can stop hearing from us, and how to report misuse of our name or domains. It applies to every domain we own, including all sub-domains and any email address ending in one of them.

2. Our Commitment

We do not send, and we do not allow anyone to send on our behalf, unsolicited commercial or bulk email that mentions, promotes or links to 3DxCell or any of our domains. In particular, we never:

  • send commercial email to anyone who has not contacted us, entered into a business relationship with us, or given us clear permission to write to them;
  • buy, rent, borrow, trade or sell email lists, or use lists compiled by anyone else;
  • harvest or scrape email addresses in bulk, whether by automated tools or otherwise, from websites, directories, conference attendee lists, publications or other public sources. Looking up the published business contact details of a specific organisation in order to write to it individually is not bulk collection and is permitted under Section 4.1;
  • use misleading subject lines, forged or disguised sender information, or any technique intended to conceal the origin of a message or evade spam filters;
  • send email that lacks a working way to opt out of further messages.

3. What We Consider Spam

For the purposes of this Policy, spam means any of the following:

  • Unsolicited commercial email: marketing or promotional email sent to a recipient who has neither requested it nor has an existing relationship with the sender that would reasonably lead them to expect it.
  • Bulk email to unverified recipients: substantially identical messages sent to many addresses that were not individually collected with the recipient’s knowledge and consent.
  • Deceptive email: messages with false or misleading header information, subject lines or sender identities, including messages that impersonate 3DxCell or one of our domains.
  • Email without an opt-out: marketing messages that do not identify the sender or do not provide a simple, functional way to unsubscribe.

Transactional and service messages are not spam. These include replies to your enquiry, quote confirmations, meeting reminders, project updates, invoices and other messages needed to carry out a request you have made or an agreement you are party to.

4. How and When We Send Email

4.1 Who we write to

We only send email to:

  • people who have contacted us, for example through our contact form, a quote request, a brochure download or a meeting booking;
  • existing customers, partners and collaborators in connection with an ongoing or past business relationship;
  • people who have given us clear permission to contact them, for example by opting in to scientific updates on one of our forms or at an event;
  • pharmaceutical, biotech and academic organisations, and the professionals who work there, whom we contact individually in a professional capacity about matters relevant to their work. We may identify such organisations through public sources such as company websites, scientific publications or conference programmes, and we write to their published business addresses. Such outreach is always personal and specific, never bulk, and always includes a simple way to decline further contact.

4.2 Scientific updates and marketing

Our scientific updates and marketing email are sent only to people who have opted in. The newsletter checkbox on our forms is unticked by default, and it is never a condition of submitting an enquiry or receiving a quote. You can withdraw your consent at any time (see Section 6).

4.3 Every message we send

Every marketing message we send:

  • clearly identifies 3DxCell AB as the sender and includes our postal address;
  • uses an honest subject line that reflects the content of the message;
  • is sent from one of our own domains, never from a disguised or third-party address;
  • includes a simple, working way to opt out of further messages.

5. Third Parties, Partners and Service Providers

This Policy applies to our employees, contractors, agencies, resellers, affiliates, distributors and any other third party acting on our behalf or promoting our services. Advertising 3DxCell or our Sites through unsolicited email is strictly prohibited, and we do not pay commissions, referral fees or any other consideration for leads generated by spam.

Where we engage a service provider to deliver email on our behalf, we require that provider to maintain its own anti-spam policy, to honour opt-out requests, and to process personal data only on our documented instructions under a data processing agreement.

Any partner or provider found to be in breach of this Policy will have its relationship with 3DxCell reviewed and may be terminated without notice. We may also report the breach to the relevant email, hosting or network providers and to the competent authorities.

6. Unsubscribing and Managing Your Preferences

Every marketing message we send includes an unsubscribe link. You can also ask us to stop contacting you at any time by writing to info@3dxcell.com with the subject line “Unsubscribe”. No account, login or reason is required.

We act on opt-out requests promptly, and in any event within ten (10) business days. Once you have opted out we will not send you further marketing email unless you ask us to resume. We may still need to send you transactional or service messages relating to an enquiry, quotation or agreement in progress.

7. Legal Compliance

We comply with the laws that govern electronic marketing and data protection in the markets we serve, including:

  • the EU General Data Protection Regulation (Regulation (EU) 2016/679, “GDPR”), in particular the rules on lawful basis, transparency and the right to object to direct marketing (Article 21);
  • the Swedish Marketing Act (Marknadsföringslagen (2008:486)), which requires prior consent for email marketing to individuals, and the Swedish Data Protection Act (Lag (2018:218) med kompletterande bestämmelser till EU:s dataskyddsförordning);
  • the EU ePrivacy Directive (Directive 2002/58/EC) as implemented in the Member States where our recipients are located.

Where we contact professionals in a business context on the basis of legitimate interest, we do so only where the message is relevant to their professional role, the contact is individual rather than bulk, and a clear way to object is provided.

8. Reporting Abuse

If you have received an unsolicited email that mentions 3DxCell, appears to come from one of our domains, or links to one of our Sites, please report it to info@3dxcell.com with the subject line “Spam Report”. If possible, include the complete message together with its full headers, as these help us trace the true origin.

We investigate every report. Where a message was sent by us in error, we will correct the cause and remove the address from any further communication. Where a message was sent by a third party misusing our name, we will take action to stop it, which may include terminating the relationship, notifying the sender’s email or hosting provider, and referring the matter to the authorities.

Please note that spammers sometimes forge sender addresses (“spoofing”) so that a message appears to come from a domain it did not originate from. We publish SPF, DKIM and DMARC records for our domains to help receiving mail systems detect such forgeries. If you receive a message that fails these checks, it did not come from us.

9. Changes to This Policy

We may update this Policy from time to time to reflect changes in our practices or in the law. The current version is always published on this page, and the “Last updated” date at the top indicates when it was last revised. Material changes will be highlighted here.
